Tutors, this page is here to give you easy access to useful and important information related to your work at Tutoring Services. If there’s something you’d like us to add, please let one of the administrative team members know.

Staff Meeting Dates & Files

. All Staff Meetings run from 4:00 – 5:00 pm on the dates listed. Staff Meetings are required for all tutors. If you have not been assigned to a Staff Meeting group, contact tutoring@vanderbilt.edu ASAP. If you have a conflict with your staff meeting and need to switch to the alternate day, please contact the same email. All staff meetings will take place in the Yamada Room at 1801 Edgehill.

  • AY25-26 Schedule

    Tutor Shift Schedule: On Wednesday, August 20th, 2025, our Tutoring schedule will go LIVE onÌýÌýand students can book appointments. Any shift conflicts will need to go through the sub request system via our listserv and follow-up instructions.

    Tutoring Start and End Dates

    • 1-on-1 appointmentsÌýare open across all locations (1801 Edgehill, online, and satellites) beginning onÌýMonday, August 25th, 2025, from 1 pm – 9 pm.
    • Group appointmentsÌýare open across all locations (1801 Edgehill, online, and satellites) beginning onÌýSunday, Aug 31st, 2025, from 1 pm – 9 pm.
    • °Õ³ó±ðÌýlast dayÌýof Tutoring Services for the fall semester will be Thursday, Dec 11th, 2025, end of day (9:00 pm).

    University Break Closures

    • Fall BreakÌý
    • Thanksgiving Break
    • End of Semester Closure:ÌýTutoring Services will close for the end of the Fall 2025 semester onÌýThursday, December 11th, 2025, end of day (9:00 pm). We will reopen for the Spring semester on Wednesday, January 7th, 2025.
    • If your hours are negatively impacted by the closure dates and you wish to add in hours prior to or following any of the breaks, let Miriam know.
    • Our administrative office will be open during the closure weeks from 8:00 am to 5:00 pm, excluding VU staff holidays (notably Dec 24th, 2025 – Jan 2nd, 2026)
  • Zoom Tutoring

    For those working shifts online and at satellites, make sure that you have access to your email and that you check in and out on email for each online shift. For tutors who are hybrid or online-only, please confirm that yourÌýZoom link worksÌýand is set up properly on WCO. If you experience any issues connecting to Zoom, please let Miriam know. Feel free to email your client the Zoom link directly if there are connection problems on WCO.

  • Rescheduling Sessions

    If you cannot make your shift, you will need to find a sub by emailing the tutoring listservÌý(³Ù³Ü³Ù´Ç°ù¾±²Ô²µ²õ±ð°ù±¹¾±³¦±ð²õ³Ù³Ü³Ù´Ç°ù²õ°ª±ô¾±²õ³Ù.±¹²¹²Ô»å±ð°ù²ú¾±±ô³Ù.±ð»å³Ü):ÌýList out theÌýDate,ÌýShift hour(s)Ìýneeded covered,ÌýBooked or Unbooked, andÌýCourse NumberÌýif booked.
    Whenever possible, please make any sub requests at leastÌý8 days in advanceÌýto ensure that your hours are not booked and to allow time for changes to be made. It is far easier for tutors to find subs for unbooked hours than for booked hours.
    If you know now that you will have conflicts with one or more hours throughout the semester due to exams, special events for a campus organization, or pre-planned travel, now is the time to find a sub and reach out toÌýtutoring@vanderbilt.eduÌýto offer make-up times. Refer to your Staff Manual for detailed information.

  • Group Tutoring Documents

    All documents can be accessed via theÌý:

    Drop-In Hours:ÌýDrop-In Hour sessions are capped at 5 students or can be treated as a regular individual tutoring session if only one student shows up. If multiple students show up, the tutor has discretion on how to facilitate the full session hour, whether by treating each student’s question individually or by facilitating the full group in a collaborative exchange.

    Weekly Roundtables:ÌýDuring Weekly Learning Roundtable meetings, students work together with each other to answer questions and clarify course concepts. A facilitating subject tutor is present at all Weekly Learning Roundtable meetings to assist working groups as needed

  • Timesheets

    ±Ê±ô±ð²¹²õ±ðÌýupdate and saveÌýyour timesheet after every shift andÌýsubmitÌýit once you have finished your last shift for that pay period.   • Textbooks

    Course textbooks can be found at 1801 Edgehill in the metal cabinet by Tim’s desk. If you need a textbook for one of your sessions, pleaseÌýcheck it outÌýfrom Tim or the graduate clerk on staff. Make sure to return it to Tim/the clerk at the end of your session. Miriam is working to acquire digital access to some of the textbooks.

  • Tutor Match (Spring/Summer)

  • VUPD driving service

    Please notes that the VUPD service will provide a ¹ú²úÔ­´´ officer or community officer in a car to your location and a walking or driven escort home. Call this number at any time, and they will arrive shortly.Ìý615-322-2745

  • Safety and Emergency Preparedness

    Walking Escort ServiceÌý– VUPS provides walking escorts for students, faculty, and staff walking to and from any location on campus. The telephone number to call for a walking escort isÌý615-322-2745.

    VandyRide –ÌýThe ¹ú²úÔ­´´ Department of Public Safety administers the VandyRide shuttle bus service at ¹ú²úÔ­´´.ÌýOver the past year, ¹ú²úÔ­´´ Student Government has been working in partnership with VUPS and the Dean of Students Office to enhance this program to improve the safety and convenience of the VandyRide Service. You may now view their location on your computer or mobile phone, and you can even set up text message alerts to let you know when a Van will be arriving to your stop.
